For those of us who use Outlook 2003 or 2007, Google has a nice app that will allow you can sync your Outlook calendar to another Outlook calendar on a PC or even a smart phone (iPhone, Blackberry, or any Windows based phones). You can use this feature on multiple PC’s if you wish to have a calendar shared, but are not running a Microsoft Exchange server.

The Google calendar app is good for families to know what the rest of the family is doing, small businesses who want to keep track of where their employees are, and anyone who just doesn’t like putting the same even in multiple calendars.

This Google app will only work on computers running Windows XP (32-bit), Vista (32 & 64-bit), and Windows 7 (32 & 64-bit).


Getting Started:
First thing that needs to be done is, you need to sign into or register for a Google account. To do this, go to www.google.com/accounts. This will allow you to setup and use not only your Google Calendar, but also the many other applications that Google has to offer.

Once you are signed into Google, go to www.google.com/calendar. Complete the steps to setup your Google Calendar.


Installing Google Calendar Sync:
After your Google calendar setup is completed, go to http://dl.google.com/googlecalendarsync/GoogleCalendarSync_Installer.exe to download Google Sync. Save the file to a location of your choice, just remember where you save it at.

Once the download is completed, make sure that Outlook is closed and double click on the file to install the program. Click OK to acknowledge that it is an executable file. Read through the Google Calendar Sync Terms of Service and then click on AGREE. When the next window comes up, click on NEXT.

When Google Calendar Sync is completed with the installation, a screen like pictured below will appear. Enter the email address and password you registered with Google in the appropriate fields. Make sure the option for 2-Way syncing is selected. In the box that allows you to decide how many minutes go between syncing, enter 10 (10 is the minimum that you can do).


The installation is now completed.

You will notice a little icon in the Notification area of the task bar. Right clicking on this will allow you to manually sync the Calendars before the allotted time.

You will also have an icon on your desktop that will take you directly to your Google calendar using your web browser.


Now, repeat the installation on any other PC that you want the calendars to be synced to. Use the same Google account information at the end of the installation process as you did on the original installation.



Calendar Sync on iPhone:
If you or your company is using the Apple iPhone, you can also use the Google calendar sync to sync your Outlook calendar to your iPhone.

The first thing you need to make sure of is that your iPhone OS is version 3.0 or later. Any versions prior to version 3.0 will not work with Google Calendar Sync. To check if you do have the proper version, select Settings > General > About > Version. If you are not running OS version 3.0 or later, please visit www.apple.com/iphone/softwareupdate to learn how to update your iPhone to the latest version.

Once you have established that your iPhone is running OS version 3.0 or later, continue with the steps below.

1. Open Settings from your iPhone home screen
2. Open Mail, Contacts, Calendars from the settings screen
3. Select Add Account
4. Select Microsoft Exchange





5. In the Email field, enter your full Google account email address. If you use a @googlemail.com or a @gmail.com email address, you may see an “Unable to verify certificate” warning when you proceed to the next step.
6. Leave the Domain field blank
7. In the Email field, enter your full Google account email address
8. In the Password filed, enter your Google account password
9. Select Next at the top right corner of your screen
a. Choose Accept if the “Unable to Verify Certificate” dialog appears
10. A Server field will appear. Enter m.google.com
11. Select Next at the top right corner of your screen




12. Select the Google Services you wish to sync
13. Unless you want to delete all the existing Contacts and Calendars on your phone, select the Keep on my iPhone option when prompted. This will also allow you to keep syncing with your computer via iTunes


Now Google Calendar Sync is enabled on your iPhone. If you have Push enabled on your iPhone, the sync will begin automatically. To enable Push on your iPhone, please refer to your owner’s manual.



Calendar Sync on Blackberry:
If you or your company is using a Blackberry cell phone, you can also use the Google calendar sync to sync your Outlook calendar to your Blackberry.

First you will need to download and install Google Sync to your Blackberry phone. To download Google Sync, visit http://m.google.com/sync from the web browser on your Blackberry phone. Once this link is opened, you will see a Download Google Sync link. Click the jog wheel or BlackBerry menu button to open the menu, and select Get link. This will take you to a download page. Now click on Download. The installation will happen automatically after the completion of the download.

To start using Google Sync, follow the steps below.

1. Click on the icon on your Blackberry’s screen. You will then see a screen with a log in form.
2. Type the full email address and password for your Google account
3. Press Login and Google Sync will sign in to your account. Once you're successfully signed in, please read the information on the Welcome screen carefully. If you wish, you can make changes to the default settings by clicking on the scroll wheel and selecting Options from the menu. Both Calendar and Contacts syncing are enabled by default for new users. (If you're upgrading from the previous Calendar-only version of Google Sync, you'll need to enable Contacts sync.)
4. Click the Sync Now button at the home screen.

The initial synchronization will take some time, depending on the number of events you have in your Google Calendar and the number of contacts in your Gmail Contacts. Please be patient; you can allow the synchronization to take place in the background as you perform other tasks on your BlackBerry device.

To use Google Sync, click the Google Sync icon on the home screen of your BlackBerry. Alternatively you can open the calendar application on your BlackBerry and click the thumb wheel once to pop up the menu. You'll find the "Google Sync" entry at the top of the menu



Calendar Sync on a Windows Mobile Phone:
IMPORTANT NOTE: Please make sure you have backed up all your contacts and calendar events to a PC before proceeding.

If you or your company is using a Windows Mobile enabled device, you can also use the Google calendar sync to sync your Outlook calendar to your Windows Mobile enabled device.

To setup Google Calendar Sync on your Windows Mobile enabled device, follow the steps below.

1. Open the Active Sync application on your device's home screen
2. Click the link Set up your device to sync with it
3. Enter m.google.com as the server address
4. Ensure that the SSL option is checked




5. Click Next
6. Enter your full Google Account email address as the User name
7. Enter your Google Account password as the Password
8. Leave the Domain field empty. If your device requires you to enter a domain name, enter google
9. Click Next
10. Check Contacts, Calendar, or Email depending on which you'd like to sync
11. Click Finish




12. Press the Sync soft key on the left to synchronize



You have now setup Google Sync on your Windows enabled device.

New calendar entries are normally pushed to your phone within seconds, depending on network conditions. You may need to enable Push in your phone settings. To learn how to enable Push on your Windows Mobile enabled device, please refer to the owner’s manual.





Now that you, your family, and or your small business has this feature setup, there should be no reason that any of you lose track of appointments or special events you may have.

Google Calendar does not sync with Windows 7… but I need to access my Google Calendar and E-mail through Outlook. Please let me know how I can get Google E-mail and Calendar to flow through my Outlook in the Windows 7 OS.
